IHQ Move Frequently Asked Questions

Q: Who is coordinating the move? __
A: For the most part, you will be working closely with your Enrichment Group Leader. Your Enrichment Group Leader will be meeting with you one-on-one to determine and coordinate your moving needs. John Pinkerton is coordinating the overall project.

__Q: What do I do if my new office does not have sufficient furniture or storage?
A: If you find yourself moving into an office that does not have the same storage capacity, discuss this with your Enrichment Group Leader. They will work with you to help you find storage in your new suite or they will submit a request for additional office furniture or equipment.

Q: Will I have the requested furniture in my office the day of move?
A: That depends. Every effort will be made to provide you with the furniture you need the day of the move. In some cases, we may fulfill that request in the days following the move as we can pull from existing stock. In other cases, we may have to order furniture.

Q: Do we need to pack up all our stuff, or is the moving company doing that part too?
A: The moving company will assist with packing. We do believe that each person will do some packing, especially their personal items. Starting the week of November 27, people can pick up packing materials and attend optional packing training classes. If you need assistance in packing, discuss this with your Enrichment Group Leader and the IHQ Move Team will arrange for packers to help you.

Q: Can we move refrigerators, microwaves, and coffee makers?
A: Yes. Please point these out to your Enrichment Group Leaders so the IHQ Move Team can determine placement in the new suite.

Q: Can I take my chair to my new location? __
A: Yes. We are planning that everyone will have their chairs moved to their new location.

__Q: I have some valuable personal items that I would hate to see broken, what steps are being taken to ensure that they will arrive in one piece?
A: Everyone is asked to take valuable or breakable personal items (e.g. pictures, pottery, plants, or any glass item) home and bring them back following the move. While movers are very careful, occasionally accidents happen and an item of special sentimental value, if broken, is often hard to replace.

Q: There are a couple of upright cabinets and lateral file cabinets that we will want to take with us. Is that acceptable? How do we mark those pieces that need to go, or who should we notify? __
A: Generally, cabinets and lateral files will be moved so long as there is room for these items in the new location. You will be given instructions on how to label the office furniture that is bening moved.

__Q: Will we need to remove the contents of file cabinets?
A: That depends on the type of file cabinet. Lateral files and some modular filing cabinets will have to be emptied. Old fashioned drawer filing cabinets may be moved without emptying the contents. The moving company will provide us with more specifics in the coming week.

Q: If we want to rearrange heavy furniture in new offices, who can assist with that?
A: The move is a first step of getting everyone settled into their new offices. We are asking that everyone work within the current configuration of their furniture for a while. After Conference, we will then provide space planners to work with teams and staff to develop more efficient office and suite configurations.

Q: How are the phones being handled?
A: The movers will pack your telephones and reconnect them at your new office. The Technology Support team will make sure that your extension rings at your new location. These changes will be made the day of the move and you should expect to have the phone changed by the beginning of the next business day. If you are moving between the Temple and the Auditorium and you do not have a 3000-series extension, you will be assigned a new phone extension.

Q: Will large trash bins be available to do some housecleaning?
A: The team is looking into hiring a company that can provide secure bins in which you can throw away papers. These bins will then be removed and the contents shredded.

Q: Will we know specific blocks of time for the move (I will need to arrange for phone coverage or change my phone announcement)?
A: Yes, we believe that we will be able to identify the day and whether the move will occur in the morning or afternoon.

Q: Will some people have to move early due?
A: Yes. The team is working on identifying those that may need to move due to office or cubicle construction.

Q: What happens to all of the resource library material in our offices? Should that be given to the Temple Library or will there be a central resource library for our teams to use?
A: The IHQ Move Team is still addressing what to do with departmental libraries. Some libraries, such as the Worship Resource Library, will be relocated. If you have a departmental library, please let your Enrichment Group Leader know this during your interview.

Q: Will our new office spaces be painted and nail holes filled as is being done in some places in the Auditorium?
A: Due to time constraints, we will not be able to paint and fill nail holes during the move. As with office and suite configurations, any re-decorating will be scheduled after the move and possibly after Conference.
